This university takes data protection extremely seriously indeed. We would like to inform you what kind of data we process.
In the following text, we provide you as a visitor to our online presence with information about the type, scope and purposes of our collecting and using personal data on the Folkwang University of the Arts website. The information you receive is required in accordance with the General Data Protection Regulation (EU GDPR) and the Data Protection Act of the State of North Rhine-Westphalia.
With regard to the terms used in the following sections, please refer to Article 4 EU GDPR. Generally speaking, personal data is any information that can be used to identify you, such as the IP address.

General information on the use of data on our website
We automatically collect and store information transmitted to us by your browser in the log files of the web server. This information consists of:
- Browser type and version
- Machine name or IP address of the accessing computer
- Time of the request to the server
- Requested file (website, image, document)
- Referring website
- Quantity of data transmitted
This data is indispensable for the displaying of the web page and thus the visibility of the contents. The legal basis of this processing is provided by Article 6 Section 1 lit. e. EU GDPR and § 3 Section 3 KunstHG (Art Universities Act).
Furthermore, this data is evaluated for statistical and security purposes as well as for the optimisation of our internet offering. No person-related evaluation or profile development takes place. The data specified is stored for security reasons (e.g. to solve cases of misuse or fraud) for a maximum period of 7 days and then deleted. Data, whose retention is required for evidentiary purposes, is excluded from deletion until the incident in question is finally clarified. The legal basis of this processing is provided by Article 6 Section 1 lit. f EU GDPR.
For statistical evaluation purposes, University Communications of the Folkwang University of the Arts uses Matomo (http://www.piwik.org) on this website. This is an open-source web analysis service. Matomo makes use of so-called "cookies", small text files that recognise interrelated page requests (so-called visits) for an anonymous statistical evaluation. In doing so, the information produced on your use of the website (including your IP address) will remain under the data sovereignty of the Folkwang University of the Arts. We make use of this information to evaluate the use of our internet site and compile reports on the website activities. We do not transmit this information on to third-parties. The IP address is anonymised immediately after the processing and before being stored.
You are free to prevent the installation of cookies on your computer by appropriately setting your browser software. In this case, however, we would draw your attention to the possibility of your then not being able to make use of the full functionality that this website has to offer.
Transmission to third parties
As a matter of principle, we do not transmit data processed in connection with our website to third parties. In individual cases, however, this may take place on the basis of a statutory authorisation, say, for the purposes of asserting claims for damages. Insofar as technical service providers are provided with access to personal data, this takes place on the basis of a contract concluded in accordance with Article 28 EU GDPR. As a matter of principle, no personal data is transmitted to countries outside the European Economic Area and associated countries (no "third-country transfer"). In the event that this should be necessary, we will inform you separately.
Contacting the university
When contacting the Folkwang University of the Arts (say, by contact form or email), the information on the user is stored by us for as long as necessary for the purpose of processing the request and any follow-up questions and then immediately deleted.
Newsletter
On subscribing to our newsletter, which you do so at your own request, we inform you about the activities of the Folkwang University of the Arts and can thus base our data processing operations for this purpose on your consent. You are free to revoke your consent at any time. When you subscribe, we store the email address you provide us with, your name, your IP address as well as the date and time of your subscribing. The last of these is used to prevent misuse of your data. The data is not passed on to third parties. You can revoke your consent whenever you want by sending an informal email to: presse(at)folkwang-uni.de. There is a corresponding message on this in every newsletter we send you.
Information on social media channels
The Folkwang University of the Arts does not itself collect any data in its social media presences and solely uses the official channels for its public relations activities. Therefore for other enquiries, please use direct communication channels.
Although both the official social media channels of the Folkwang University of the Arts and the channels of individual faculties and study courses are viewable for everybody without registration, you need to possess your own profile for interactions. Please refer to the information provided in the data protection notices of the respective providers for the purpose and scope of the data collection and the further processing and use of your data as well as your corresponding rights: Facebook, Instagram, Twitter, YouTube and Soundcloud.
It may occur that YouTube videos and Soundcloud files are included in our online offering. As a rule, this requires that the providers of these contents are aware of users' IP address, since without the IP address no contents can be sent to the browser of the respective user. The IP address is therefore necessary for the presentation of these contents. The University has no influence on the data processing operations at YouTube and Soundcloud.
Spam
The use by third parties of published contact data, such as postal addresses, telephone and fax numbers as well as, in particular, email addresses in the context of the Legal Notice or comparable notice for the purpose of sending information not expressly requested is not permitted. In the event of infringements of this prohibition, we reserve the right to take legal steps against the senders of so-called spam mails.
Your rights
When your personal data is processed, then you are a data subject within the meaning of the EU GDPR, and are entitled to the following rights vis-á-vis the university as the Responsible Body:
- the right to information as to whether (and if so, what) personal data of yours is processed (Article 15 EU GDPR);
- the right to request correction or completion of your personal data (Article 16 EU GDPR);
- the right to delete data pertaining to you in accordance with Article 17 EU GDPR;
- the right to request limitation of the processing of your data in accordance with Article 18 EU GDPR;
- the right to object to a future processing of the data pertaining to you in accordance with Article 21 EU GDPR;
- the right to submit a complaint to the data protection supervisory body (Article 77 EU GDPR) – for example, the North Rhine Westphalia State Data Protection Commissioner who is responsible for the university.

Her task is to ensure compliance with data protection regulations at the university. All public institutions that process personal data appoint data protection officers in accordance with Article 37 Section 1 a EU GDPR. The art and music universities in NRW have appointed a joint Data Protection Officer who – for operational reasons – is located at the University for Music and Dance Cologne.
The Data Protection Officer participates in all data protection-relevant events in academia for the purpose of being able to advise on the selection and designing of data processing methods and monitor compliance with the legal requirements. This includes training for employees and teaching staff. The Data Protection Officer keeps a record of existing personal data processing methods (directory of procedures) and by means of prior checks controls whether new data processing methods are admissible.
Furthermore, she is the contact partner for all enquiries from university members and citizens on the handling of personal data at the university. Data Protection Officers are always bound to confidentiality. You can also contact in confidence the Data Protection Commissioner for the Art and Music Universities in North Rhine-Westphalia. Please note that unencrypted emails are not a secure means of communication. If you send a letter addressed to "the Data Protection Commissioner" or "Data Protection", then it will not be opened before it reaches the Data Protection Commissioner.
